Gardeners Ilford is committed to providing gardening and grounds maintenance services in a way that protects the health, safety and welfare of our employees, contractors, clients, visitors and members of the public. This policy explains how we manage safety across all work we carry out in gardens and outdoor spaces within our service area.

Policy Aims and Responsibilities

Our aim is to prevent injury, ill health and property damage arising from our operations. We will comply with all relevant health and safety legislation and recognised industry good practice for gardening and landscaping work.

Overall responsibility for health and safety rests with the company management, who ensure that suitable resources, equipment and instruction are provided. Supervisors are responsible for implementing safe systems of work on site and for monitoring day-to-day standards. Every employee and contractor has a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions, and to co-operate fully with this policy.

Risk Assessment and Safe Systems of Work

Before starting work, we assess the risks associated with each job, taking into account the specific garden layout, access arrangements, slopes, surfaces, planting, existing structures and the presence of clients, neighbours or the public.

Where significant risks are identified, control measures are put in place. These may include using appropriate personal protective equipment, scheduling work to avoid peak visitor times, segregating work areas, choosing safer tools and machinery, and adjusting methods of work. Our employees are trained to follow task-specific safe systems of work for activities such as mowing, hedge cutting, tree work up to their competence level, planting, application of treatments and waste handling.

Training, Competence and Supervision

We ensure that all gardeners and operatives receive suitable induction and ongoing training relevant to their role. This includes instruction in safe handling of tools and machinery, correct lifting techniques, safe work at height where applicable and awareness of environmental conditions such as heat, cold and wet ground.

Only competent and authorised persons may operate powered equipment such as mowers, trimmers, blowers, chainsaws and other machinery. Additional specialist training and, where required, certification is provided for higher risk activities. Less experienced staff work under appropriate supervision until they can demonstrate the required level of competence.

Use of Tools, Machinery and Vehicles

All tools, machinery and vehicles used by Gardeners Ilford are selected, maintained and used in accordance with manufacturer instructions and safety guidance. Equipment is regularly inspected, and any defects are reported immediately, taken out of service if necessary and rectified as soon as reasonably practicable.

Guards, safety features and emergency stops must never be removed or deliberately bypassed. Operators must carry out pre-use checks and use machinery only for its intended purpose. Where vehicles are used for transporting staff, materials or green waste, drivers must hold the appropriate licence and follow safe driving practices, with particular care shown in residential streets and shared access areas.

Personal Protective Equipment

Personal protective equipment is provided where risks cannot be adequately controlled by other means. Depending on the task, this may include safety footwear, gloves, eye and ear protection, high visibility clothing, respiratory protection and protective clothing for handling plants, soils or treatments.

Employees are required to use the protective equipment provided, to take reasonable care of it and to report any loss or damage. Supervisors monitor compliance and ensure that PPE is suitable, maintained and replaced when necessary.

Handling Plants, Chemicals and Green Waste

When handling plants, soils, mulches and composts, our team follow hygiene and manual handling precautions to reduce the risk of cuts, allergies, skin irritation and strains. Where we use any garden treatments, they are selected, stored, transported and applied in accordance with legal requirements and manufacturer guidelines.

Only trained personnel may handle and apply such products, and they must wear the required protective equipment. We minimise use of treatments, choose lower risk products where possible and avoid application in unsuitable weather conditions or where there is a risk of drift to neighbouring properties or watercourses. Green waste is collected, stored and transported in a way that avoids obstruction, manual handling injuries and environmental nuisance.

Manual Handling and Work at Height

Gardening often involves lifting, carrying and repetitive movements. We plan tasks to reduce the need for heavy manual handling, use mechanical aids where reasonably practicable and encourage team lifting for bulky items such as bags of soil, stones or equipment.

Any work at height, such as hedge cutting or access to raised beds and borders, is carried out using suitable equipment and methods. Improvised platforms are not permitted. Ladders and steps are inspected, set up on firm, level ground and used only by persons who are trained in safe use. We avoid working at height in adverse weather conditions.

Protecting Clients, Visitors and the Public

We recognise our responsibility to safeguard anyone who may be affected by our work, including clients, residents, neighbours, visitors and passers-by. Work areas are kept as tidy as reasonably practicable, with tools and materials stored safely and trip hazards minimised.

When necessary, barriers, warning signs or temporary exclusion zones are used, especially during use of powered equipment or when debris could be projected. We plan noisy or disruptive work to minimise disturbance, and we communicate clearly with clients where access will be restricted or where extra precautions are needed, for example for children, pets or vulnerable persons.

Accidents, Incidents and First Aid

All accidents, near misses and hazardous situations must be reported promptly so that they can be recorded, investigated and, where necessary, corrective actions can be taken to prevent recurrence. This includes property damage and incidents involving members of the public as well as employees.

Suitable first aid arrangements are maintained on site, with access to basic first aid supplies and personnel who are aware of emergency procedures. In more serious situations, emergency services are contacted without delay, and the area is made safe as far as possible.

Health, Welfare and Environmental Conditions

Gardeners Ilford takes account of weather, seasonal conditions and the physical demands of outdoor work. Staff are encouraged to stay hydrated, take appropriate breaks and wear weather-appropriate clothing. Sun protection measures are promoted during hot conditions and extra caution is taken during cold or wet weather to prevent slips, trips and falls.

We respect the surrounding environment, taking care to minimise noise, dust and disturbance to wildlife and neighbouring properties. Waste is removed responsibly and, where possible, recycled or composted.

Consultation, Monitoring and Review

We consult with employees on health and safety matters and encourage feedback on ways to improve safety on site. Supervisors monitor compliance with this policy and with work procedures through regular site checks and informal discussions with staff.
